Job Title: Receptionist
Location: Lusaka
Job Purpose
The Receptionist serves as the first point of contact for all visitors and callers to the organization. This role is responsible for managing front desk operations, handling incoming communications, and providing essential administrative support to ensure the efficient functioning of the office.
Key Responsibilities
* Greet visitors and guests in a courteous, welcoming manner and direct them appropriately.
* -Manage incoming telephone calls, screen and route calls to the relevant departments or personnel.
* -Maintain a clean, organized, and professional front desk and reception area.
Administrative Support
* Monitor and restock office supplies, placing orders as needed and maintaining inventory records.
* Draft and distribute internal correspondence, memos, and other documents as required.
* Provide general administrative assistance including filing, photocopying, data entry, and document management.
Customer Service
* Deliver exceptional customer service to clients, visitors, and staff, both in person and over the phone.
* Address inquiries and concerns promptly, professionally, and efficiently.
* Uphold a positive and professional image of the organization at all times.
Office Operations and Coordination
* Assist in maintaining office security protocols and access control systems.
* Coordinate the setup of meeting rooms and ensure availability of necessary materials and equipment.
* Support day to day office operations and assist with additional administrative tasks as assigned.
Qualifications and Requirements
Education
* Grade 12 certificate
* A degree/diploma in Front Office Management, Business Administration, or a related field.
* At least 2 years of proven experience in a receptionist, front office, or administrative role.
Skills and Competencies
* Exceptional verbal and written communication skills.
* Strong organizational and multitasking abilities with keen attention to detail.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
* Professional appearance and conduct.
* Ability to work under pressure while maintaining composure and accuracy.
* Discretion and the ability to handle confidential information with integrity.
